Your Tenant Isn't Always the Problem. Your System Might Be.

When a rental relationship becomes frustrating, it is easy to conclude that the tenant is difficult. Sometimes that is true. But many rental problems become bigger because there is no reliable process for dealing with them.

A tenant reports a maintenance problem. The landlord reads the message while busy and intends to deal with it later. A contractor is eventually contacted. Nobody confirms attendance. The tenant follows up. The contractor says he attended. Nobody confirms whether the repair worked. Two weeks later the same problem is reported again.

The problem isn't always the first problem

The leaking tap, broken gate or utility query may have been relatively simple. What creates frustration is the chain of incomplete communication around it.

Good lease management therefore requires more than responding to messages. It requires recording what happened, determining responsibility, assigning the next action, following up and confirming the outcome.

Better question: Instead of asking only “Who caused this problem?”, also ask “What system do we have to make sure this problem reaches an outcome?”

The strongest landlords are not necessarily the landlords who personally do everything. They are the landlords who know what is happening, retain decision-making control and have reliable systems around their investment.
