WhatsApp is an excellent communication channel. It is a poor database.
A rental property can generate tenant messages, photographs, contractor details, quotations, invoices, utility statements, complaints, approvals and maintenance updates. When all of this exists only inside a message thread, finding the complete history months later becomes difficult.
Use messaging for communication, but maintain structured records behind the communication. A maintenance request should become a maintenance record. An approval should be recorded. A contractor visit should have an outcome.
The principle is simple: communication tells people what is happening. Records prove what happened.
